People, roles and positions

Administration is for people with the user administration duty.

Add a person with their email (it must match the account they sign in with), their manager, department and roles. If your directory provisions people through SCIM, they appear here on their own; see Sign-in and provisioning.

Deactivating someone removes their access; their history stays on the audit trail.

Roles bundle permissions such as entering invoices, approving invoices, preparing payments or opening bids. Roles lists each one and what it allows.

Segregation of duties is checked when you save: Spend refuses a combination of roles that would let one person, for example, both maintain suppliers and release payments. The count of people with conflicting duties appears at the top of the page and should stay at zero.

Approvals can route to a position, a seat in the org chart such as “Controller” or “Section Head, Plant Maintenance”, instead of to a named person. Under Positions, add seats, say who holds each and whom it reports to.

When someone changes jobs, reassign the seat and its pending approvals move with it. A vacant seat’s approvals go to the next level up until it is filled.

Out-of-office cover lists every delegation in place and lets you set one for anyone.

Data downloads a complete export of your organization’s records, documents and audit ledger. The export is itself recorded on the ledger.
