Expense reports

  1. Open Expenses and start a report: title, trip dates and destination, and the public purpose.
  2. Add lines: airfare, lodging, meals, per diem, mileage, ground transport, registration, supplies or other. Attach a receipt to each line that needs one; Spend reads it for you.
    • Mileage is computed from the miles and the policy rate (one way or round trip).
    • Per diem is computed from the destination and nights under your policy.
  3. Submit the report.

Lines are checked against policy as you go, including whether a charge was already paid on a P-Card.

Your supervisor approves first. Reports that are flagged, at or above $2,500, or picked in the 10% sample also go to the expense coordinator.

If a report is returned, fix what the note asks and submit it again; its history is kept.

Approved reports post to your ERP (Workday or Oracle EBS), which pays you. The reimbursement is read back daily and shown on the report.
