Working with agents

Spend’s agents do the legwork on exceptions, suppliers, card audits, requests, solicitations, contracts and payment runs. Anything that moves money, leaves the agency or binds it waits for a person who holds that duty. Agents never approve, award, release a payment or change policy.

Open Agents in the sidebar.

  • Waiting on me groups the proposals you can decide, such as messages to suppliers or holds on payments.
  • Live feed lists every run: what started it, what the agent did, and how it ended (Done, Input needed or still working).
  • Agents shows each agent with its mode and numbers: runs, the share handled straight through with no change needed, and how often people accepted its proposals as written.

Each proposal says what the agent wants to do, why, and the evidence. You can:

  • Approve: it happens, under your name. For a supplier message, Approve and send sends it.
  • Edit: change the text or the values, then approve.
  • Reject: with a note saying why.

When you edit or reject, Spend keeps the lesson and applies it the next time the agent works the same supplier or subject. Over time, the agent follows your practice.

Open any run to see its steps: each look-up, each internal change, each guardrail and each proposal, in order. Everything an agent does is also on the record’s Activity tab and the audit ledger, with the model and prompt version it used.

For each agent, your administrator chooses:

  • Automatic: works new items as they arrive.
  • On demand: runs only when someone asks, from the record.
  • Rules only: the same job by rules, with nothing sent to the AI model.
  • Off.

When AI is not configured, the model is unavailable, or a document is in a class kept from the AI provider, the agent runs its rules playbook instead.
